See Accommodation Page

ASSESSMENT

Students will be given unit outlines for each unit they are enrolled in during the first week of classes. These outlines will provide information regarding unit content, assessment procedures and resource requirements. If you have any doubts about the assessment requirements for any unit, please see your lecturer. Students are only eligible to receive assessment grades in units they are officially enrolled in. A student who enrols in a unit, but does not complete any assessment requirements for the unit will receive a grade of XN (Enrolled Assessment Incomplete) and remain liable for the tuition fees.

ASSESSMENT REVIEW/APPEALS

Students may appeal against any component of the assessment for any unit in which they are enrolled, including the final result. To have your assessment in a unit reviewed you must complete the Review of Assessment form and submit to MIBT Reception together with a $50 fee. The fee will be refunded only if the outcome is successful. This form must be lodged by 5.00pm on the Monday following the publication of results. Appeals will be considered by the unit coordinator and a recommendation made to the MIBT Academic Progress Committee. Students will be notified of the outcome of their application via the myMIBT student portal. If there is any change made to the grade, a new Academic Statement will be provided.

ASSIGNMENT EXTENSIONS

At the beginning of each semester, unit lecturers will provide guidelines on the availability or otherwise of assignment extensions. If, for reasons beyond your control, you are unable to submit work by the deadline, these guidelines must be followed.

ASSIGNMENT SUBMISSION

All assignments are to be placed in the unit lecturer’s pigeon hole located on Level 4, or submitted electronically via the myMIBTstudent portal if instructed to do so by the lecturer. Assignments will not be accepted at MIBT Reception. Students should pay particular attention to the rules relating to absence from tests or late submission of assignments. The policy on these issues is stated in the individual unit outlines.

ATTENDANCE

Attendance at lectures, tutorials and labs is important to your success as a student. Attendance records are taken in each class and are monitored for nonattendance. All students at MIBT are required to attend 80% of their scheduled classes. Students will receive attendance warning and may be asked to attend an interview with Student Services to explain their absences. International students enrolled in the Certificate IV may be reported to DIAC if they do not meet the attendance requirements.

AUSTUDY

All courses offered by MIBT have been approved for Youth Allowance, Austudy Payment, ABSTUDY and the Pensioner Education Supplement. For more information visit: http://www.centrelink.gov.au/

AWARDS

Upon completion of a Certificate IV in University Foundation Studies, students will receive an Award which is nationally recognised. Upon completion of a Diploma course, students will receive a Higher Education Award which is recognised and approved by Deakin University and many other Australian Universities.

BOOKS – SECOND-HAND

Students who are completing their course often sell their textbooks to incoming students. Students who have books for sale place notices on myMIBT under IBTbay.

CANCELLATION OF ENROLMENT

MIBT may cancel a student’s enrolment if the student has:

  • gained admission to MIBT by misrepresentation, falsification of documents or other fraudulent means;
  • failed to fulfil the normal requirements for admission or enrolment; or
  • committed an act of grave misconduct associated with the academic program of MIBT.

CHANGE OF ADDRESS

Students must advise MIBT of any subsequent change to their mailing and/or contact address in Melbourne by updating their data on the myMIBT student portal. International students must also make any changes to their overseas address on the myMIBT student portal. For international students it is a condition of your student visa to notify your provider of a change of address in Australia within 7 days of the change.

CHANGE OF COURSE

Students who wish to change their course must complete the Change of Course Application form and submit to MIBT Reception. Students can only change course at the completion of a semester. Students will be notified of the outcome of their application in writing.

CHANGE OF NAME

Students who change their name must complete an Enrolment Variation form and submit to MIBT Reception together with original documents which support the change, such as a marriage certificate or passport.

CHANGE OF UNITS/TIMETABLE

Students may make changes to their original enrolment/unit selection online if vacancies are available in classes. After the on-line enrolment period is closed, students who want to make a change will be required to complete the Enrolment Variation form and submit the form to MIBT Reception together with a late penalty of $50 per unit. This non-refundable penalty must be paid before the application will be processed. Students should continue to attend the classes for which they were originally enrolled until they are notified of the outcome of their application on the myMIBT student portal.

Note: If classes are full there is little chance that the application will be approved. No changes to unit selection can be made two weeks after the commencement of a semester, except to drop a unit. A unit can be dropped until the end of the fourth week and fees paid for the dropped unit will be credited to the next semester. After the fourth week, a unit can be dropped, however no fees will be transferred to the next semester.

Students who drop a unit after the fourth week will have ‘W’ (Withdrawn) recorded as their result in the unit.

Any unit dropped after Week 8 will be recorded as ‘WN’ (Withdrawn - Fail).

Units cannot be dropped from Week 10 onwards.

Note: International students must maintain a full time enrolment.

CHANGING YOUR HOMESTAY

If you are not happy with your current homestay family and wish to change your accommodation, you will need to contact the organisation who placed you with this homestay family. Note: if you are an international student under 18 years of age living with a homestay family, you are required by the Department of Immigration and Citizenship (DIAC) to remain with this homestay family unless you get written approval from Student Services to change your accommodation.

CHEATING

Cheating is one type of Academic Misconduct and can include:

  • having notes written in dictionaries
  • leaving notes outside the classroom to use during an exam
  • looking at another student’s paper during an exam
  • submitting work that is not your own, or
  • taking unauthorized notes into an exam room

CLASS TIMES/STRUCTURE

All classes are four hours duration. The first two hours consists of a lecture. The final two hours are allocated to tutorials, workshops or computer laboratory sessions. There is some variation in this structure according to the nature of the individual units and specific requirements. Classes run from 8.30am-12.30pm and 1.30pm-5.30pm.

CODES OF BEHAVIOUR

MIBT has a number of expectations of students in order to maintain its high standards and to ensure the academic integrity of the courses. It is expected that MIBT students observe the following codes of behaviour:

Attendance

Smoking

MIBT/Deakin Facilities

Students must respect the requirements and rules for use of both MIBT and Deakin University facilities. Students who disregard these rules will be subject to disciplinary action both from MIBT and Deakin University.

Classroom Behaviour

It is expected that there be mutual respect in the classroom. This means respect between both students and lecturers and fellow students. All students should conduct themselves in an appropriate manner, with consideration for others’ right to personal space, speech and culture. For minor breaches of these rights (eg excessive noise), the student will be warned by the lecturer. In the event of continued inappropriate behaviour, the lecturer will ask the student to leave the classroom for that week’s lecture. For major breaches of these rights (eg violence, harassment or continual problems in behaviour) the lecturer will ask the student to leave the classroom and will advise the Academic Director of the incident. In this event a meeting will take place between the Academic Director, lecturer and student. A formal warning will be given to the student. For continued behavioural problems, a student’s enrolment may be cancelled following a review by the College Director/Principal.

Mobile Phones

Mobile phones should be used with sensitivity and discretion. Mobile phones and pagers must be turned off in classrooms, computer laboratories, the library and examination venues.

Lateness to Class

Students are expected to arrive at their classes on time. It is disruptive to have students walking into the classroom after the class has started. The lecturer may require students to wait until the next break to enter the classroom. If students must leave class early, they should also wait for the break to do so.

Cleanliness of Classrooms and Campus

No food or drink is permitted in MIBT classrooms, lecture theatres or computer labs. Only bottled water may be taken to these venues. It is a students' responsibility to dispose of their litter and rubbish in the appropriate bins located throughout the campus.

COLLUSION

Collusion occurs when two or more students working together on a project present work as if it was their own individual work. When participating in group work, it is not acceptable for members of the group to submit identical answers to assignments by simply copying the work done as a group. Lecturers and graders are entitled to consider identical layout, mistakes, argument and/or presentation to be evidence of collusion.

COMMUNICATION

The quickest and most convenient way for MIBT staff and students to communicate with each other is via the myMIBT student portal or your Deakin email address. Please make sure to check the portal and your Deakin email account for messages at least once a week.

COMPLAINTS/GRIEVANCE PROCEDURES

If you have a complaint about anything related to your studies at MIBT, you should speak to the Academic Director, Deputy Academic Director, Compliance Officer or Student Advisor. Every effort will be made to solve your problem. If a student remains dissatisfied, an independent grievance handling/dispute resolution procedure is available at no cost. See the following policies:

COMPUTER LABORATORIES

All MIBT students will be issued with Deakin University computer accounts which will allow access to all Deakin computer labs located on all Deakin University campuses. Students are reminded that laboratories are under video surveillance and all Internet site visits are logged. Students should use discretion in their lab usage.

CONCEDED PASS

Conceded Passes are not normally awarded by MIBT. However, if there is an exceptional situation and such a situation would stop the student from completing the Certificate or Diploma a Conceded Pass may be considered. A Conceded Pass is not accepted by Deakin University.

CONSULTATION

All of your lecturers at MIBT are available for group/individual consultation on campus for 30-60 minutes per week. If you are finding a unit difficult, it is extremely important that you attend your lecturer’s consultation as soon as you need help. You can find a list of times your lecturer is available in the unit outline on the myMIBT student portal under ‘Forms’.

COPYRIGHT

When photocopying documents or information, you are required to comply with the Australian Copyright Act (1968). Under the Copyright Act, you are not allowed to photocopy more than 10% (or one chapter) from your textbooks. For further information, refer to http://scaletext.law.gov.au/html/pasteact/0/244/top.htm

COUNSELLING SERVICES

A free, confidential and individual counselling service is available to all students. The Counselling Services Unit is located at Deakin Student Life in Building b, Level 2. If a student wishes to see a counsellor, they may make an appointment by calling 9244 6300 or visit: www.deakin.edu.au/studentlife/counselling/

COURSE ADVICE

Any student who needs information or assistance on their course should see MIBT Reception and ask for Academic services.

DEFERRED EXAMINATIONS

If a student is unable to sit a scheduled examination a deferred examination may be granted only if there are genuine and extenuating circumstances for which supporting documentation is provided. Headaches, colds, examination nerves, medical condition, arriving late for the examination, misreading of the examination timetable, public transport not running, returning home, WILL NOT be accepted as grounds for a Deferred Examination.

To be eligible for a deferred examination, students must satisfy the following conditions:

  1. The student must have satisfactory attendance (80%) in the scheduled classes for the unit.
  2. The student must have completed and passed the semester assessment requirements specified in the unit outline.
  3. The extenuating circumstances must be significant and be supported by evidence.

How to Apply for a Deferred Examination

Students are required to complete a Deferred Examination Application form and submit to MIBT Reception. The completed form, together with supporting documentation and a $50 fee for each deferred examination, must be submitted to MIBT Reception no later than two days after the scheduled examination. For exams scheduled on Friday or Saturday, students must submit all documents to MIBT Reception on the Monday by 5.00pm. Forms will not be accepted after this date. The $50 fee will be refunded if the student makes a reasonable attempt on the Deferred Examination.

Note: Submitting a Deferred Examination Application form does not guarantee the application will be approved. If a student applies for a deferred examination on trauma or hardship grounds, they may be asked to provide a Statutory Declaration. A Statutory Declaration is a legal document sworn as being a true statement in front of a Justice of the Peace.

The Academic Director will consider all applications and make a recommendation to the Academic Progress Committee. Students will be notified in writing of the outcome.

If a deferred examination is granted, the letter will state the day, date, time and location of the examination. Deferred examinations are held within two weeks after the scheduled examination period has finished. Students who fail to sit the scheduled deferred examination will forfeit their right to sit the examination and a fail result will be recorded for the unit. The $50 fee will not be refunded.

DEPARTMENT OF IMMIGRATION AND CITIZENSHIP (DIAC)

If you are an international student, you were granted a Student Visa by DIAC which is subject to several conditions governing your stay in Australia. It is your responsibility to satisfy your visa conditions and stay aware of DIAC policies. Please check your visa regulations and requirements with DIAC.

DISCRIMINATION

MIBT is committed to the equality of opportunity in education and employment. MIBT recognises the right of all students and staff to study and work in an environment free from harassment, bullying and unlawful discrimination. If you feel you have been a victim of harassment, bullying or discrimination, you should contact the Compliance Officer or Academic Director immediately. All complaints of this nature will be treated seriously and investigated in a thorough and confidential matter.

EMERGENCY MEDICAL CARE

In the event of circumstances that require urgent medical care and it is not possible to contact the parent or guardian, MIBT is authorised as a matter of urgency to seek and provide appropriate medical care in accordance with the agreement with MIBT.

ENROLLING IN YOUR UNITS – NEW STUDENTS

New students will select their units of study during Orientation and will complete their semester timetable. Units will only be offered if there is sufficient demand. MIBT reserves the right to vary, cancel or withdraw units, or to change the timetable at any time.

ENROLLING IN YOUR UNITS – CONTINUING STUDENTS

Students who are continuing studies into the next semester will receive notification through the myMIBT student portal of the re-enrolment dates and procedures. All re-enrolments are completed on-line on the myMIBT student portal. Students who have sat a deferred examination should base their re-enrolment on the assumption they will pass all units. Students must pay their tuition fees before they are eligible to re-enrol.

Conditional Enrolments

A student may be placed on a conditional enrolment if it is deemed by the Academic Progress Committee that the student is not achieving satisfactory course progress. This will limit the student to 3 units of study as well as enrolment in an Academic Support Class.

Late Re-enrolment

Students who re-enrol after the published re-enrolment date will be charged a $50 late enrolment fee. No student is permitted to re-enrol after Week 2.

Failure to Re-enrol

Students who fail to re-enrol are no longer listed as current MIBT students and their enrolment will be cancelled.

International students who fail to re-enrol two weeks after the semester has commenced will be reported to DIAC.

EXAMINATIONS

Examinations are held in Week 14 of each semester. Examinations for the units in the Diploma of Commerce, Diploma of Computing, Diploma of Engineering, Diploma of Health Sciences, Diploma of Management, Diploma of Media and Communication and Diploma of Science are moderated by Deakin University.

Timetable

The examination timetable is published on the myMIBT student portal approximately four weeks before the commencement of examinations. Students should check the timetable carefully and note the day/time of the examination and the room the examination is being held in.

Examination Clashes

Sometimes, a student may find they have two examinations scheduled for the same day at exactly the same time. If this is the case students should fill out the Examination Clash Form and submit to MIBT Reception. The student will be advised in writing of their re-scheduled examination times.

Examination Times

Students should assemble outside the examination room 15 minutes prior to the stated examination start time. Reading time commences at the stated examination start time. Writing time will commence immediately after the reading time is finished. Students will not be permitted to enter an examination room after 30 minutes have elapsed from the commencement of writing time. Students will not be allowed to leave the examination room in the last 15 minutes of the examination.

Students with Disabilities and the Examination Process

Alternative examination arrangements may be made for students with a disability. These arrangements may include extra time, alternative formats and venue or specialised equipment. Students with disabilities should see the Deputy Academic Director to discuss their situation.

Rules for Sitting an Examination

  • Students must have their Student ID Card with them for all examinations.
  • All bags should be placed where directed by supervisors. Students are strongly advised not to leave any valuables in their bags.

Students who are unsure about what is not allowed in the examination room should ask the examination supervisor before the examination commences. If a student is caught with unauthorised material, the material will be taken from the student. The student will be allowed to finish the examination and will be reported to the Academic Director at the conclusion of the examination.
  • Any student whose behaviour is considered unacceptable while examinations are in progress will be asked to move to another table and will be reported to the Academic Director at the conclusion of the examination.

Any actions that constitute violation of student visas such as work exceeding more than 20 hours per week, a Leave of Absence taken where students do not return home or time spent in Australia without current enrolment in an educational institution may place your student visa in jeopardy. Most of these violations are recordable and can lead to cancellation of your student visa and prohibition of your return to Australia for up to three years. International students should be aware that information provided to MIBT may be made available to Commonwealth and State agencies and the Fund Manager of the ESOS Assurance Fund, pursuant to obligations under the ESOS Act 2000 and the National Code of Practice 2007. If you copy word for word from someone else’s work, the copied passage must be put in quotation marks and the source must be accurately acknowledged. If a passage from someone else’s work is paraphrased, quotation marks are not used but the source must be acknowledged. Copying paragraphs from the Internet and presenting them as your own work is plagiarism. If you download and copy paragraphs from the Internet you must identify the source. The MIBT Student Representative Council (SRC) seeks to provide students with a voice. Opening a conduit for communication between staff and the student body provides an avenue where current student issues can be discussed, with valid feedback offered, in order to improve the quality of student life at MIBT. The SRC also aims to foster a sense of community at MIBT. The SRC is made up of a cross section of committed students and staff who represent the MIBT student body.
